This policy describes the information Notiqo may handle through its website and learning services, why it is used, and the choices available to individuals and institutions.
1. Scope of this policy
This Privacy Policy explains how Notiqo handles personal information when people visit our website, contact us, request a demo, or use a Notiqo learning service made available by an institution.
An institution may control information processed through its Notiqo account. In that situation, the institution’s own privacy notices and instructions may also apply. Students and staff should contact their institution first when a request relates to an institution-managed course or account.
2. Information we receive
We receive information that people or institutions provide directly, information created through use of the service, and limited technical information needed to operate the website and product.
- Contact and account information, such as a name, email address, institution, role, and account credentials.
- Demo and support information, including form responses, messages, and details about an organisation’s learning workflow.
- Course content supplied by or for an institution, which may include audio, video, lecture recordings, transcripts, slides, notes, and other learning material.
- Content produced through the service, such as summaries, structured notes, questions, and responses generated from connected material.
- Technical and usage information, such as device and browser details, service events, error information, and interactions needed to operate and improve the service.
3. How we use information
We use information to provide and maintain Notiqo, respond to requests, support users and institutions, protect the service, understand operational issues, and improve product workflows.
Course content may be processed to create transcripts, organise lecture material, support search, and generate course-related outputs requested through the service. The available functions depend on the institution’s Notiqo setup.
We do not use contact-form information to claim a relationship beyond responding to the request and relevant follow-up. Any broader marketing communication should provide an appropriate way to opt out.
4. Institutions and student data
Where an institution provides Notiqo to students or staff, the institution determines the educational purpose, the material made available, and who may access it. Notiqo processes that information to provide the agreed service and support the institution’s instructions.
Institutions are responsible for having appropriate permission to record classes, upload course material, and provide learner or staff information. They should give their communities suitable notices and should avoid uploading information that is not needed for the learning purpose.
If a learner believes information in an institution-managed account is inaccurate or should be removed, the institution is usually best placed to handle the request and tell Notiqo what action to take.
5. Service providers and transfers
Notiqo may use service providers for infrastructure, storage, communications, transcription, AI processing, security, and support. Those providers may process information only to perform services for Notiqo or an institution, subject to the applicable agreement.
Service providers may operate in countries other than the user’s country. When cross-border processing occurs, Notiqo and the relevant institution should evaluate the contractual and legal safeguards appropriate to their arrangement.
We may also disclose information when required by law, to protect users or the service, or as part of a business transaction where appropriate safeguards apply.
7. Retention
We keep information for as long as reasonably needed to provide the service, support an institution’s instructions, respond to a request, resolve disputes, protect the service, and meet applicable obligations.
Retention can vary by information type and institutional agreement. An institution may set different expectations for course recordings, transcripts, accounts, or generated material. Users should contact their institution for the retention terms that apply to an institution-managed course.
8. Security
Notiqo uses administrative, technical, and organisational measures intended to protect information against unauthorised access, loss, misuse, or alteration. No online service can guarantee absolute security.
Users should protect their account details, use institution-approved sharing practices, and contact Notiqo or their institution if they believe an account or course resource has been accessed improperly.
9. Choices and rights
Depending on where a person lives and the context in which information is processed, they may have rights to ask for access, correction, deletion, restriction, objection, or portability. These rights can be subject to legal limits and the role of the institution controlling the information.
For information in an institution-managed account, submit the request to the institution first. For website, demo, or direct support information, contact Notiqo using the address below. We may need enough information to verify and understand the request.
10. Children and younger learners
Notiqo is intended to be provided to younger learners only through an institution or another authorised adult that has evaluated the service and has the permissions required for the learning context.
The public website and demo form are not directed to children. A child or parent who believes personal information was provided outside an appropriate institutional arrangement should contact us.
11. Updates and contact
We may update this policy as the service, providers, or legal requirements change. We will post the revised date on this page and provide additional notice when appropriate.
